Security Procedures
Totemo Secure Messaging Gateway TrustMail® used together with TC
Enterprise ID and TC RootSigning

Hamburg, Germany – August 30, 2007 – Starting today, arvato systems GmbH will encrypt and
sign e-mails with the Secure Messaging Gateway TrustMail® from the Swiss supplier, Totemo.
TC TrustCenter GmbH provides the certificate for protecting external electronic communication as
part of a Managed PKI solution. The certificates for internal communication are provided by a
gateway and signed using TC RootSigning. Arvato systems is a subsidiary of arvato AG, the
media and communications service provider of Bertelsmann AG. With around 1,500 employees,
the service provider offers the full spectrum of information and telecommunications services: from
consultation, conception, development and implementation to operation.
With the solution package, arvato systems can communicate with partners and other business
contacts on a secure standard without requiring e-mail recipients to have encryption software or a
certificate. This way, arvato systems removes the most critical barriers in the exchange of
encrypted e-mails with the outside world and guarantees extremely trustworthy e-mail
connections.
Despite increasing e-mail dangers, many companies are putting off installation of an encryption
and signature solution. The reason for this is usually fear that their communication partner would
not be able to decode incoming e-mails. To address this problem, TrustMail provides various
solutions, which can each be adapted to the requirements of the user’s system:
- If the recipient has a certificate that is present on Totemo’s gateway, he can automatically
decode the e-mail sent to him.
- If the addressee has no certificate or has one that is not recognized by the gateway, he
automatically receives a message that an employee would like to communicate with him via
encrypted e-mail. The solution package offers three methods for setting up the e-mail exchange:
1. If the recipient has a certificate, he can make it available to the gateway by sending a
signed e-mail to arvato systems GmbH. The gateway stores the certificate centrally for
future e-mail traffic. Then it is automatically available for all employees who want to
communicate with the recipient securely.
2. If the recipient does not have his own certificate, he can issue one via the WebMail
application and import it into his mail client. The public key of the issued certificate will
also be stored centrally and will automatically be available for all further
communication.
3. If the recipient does not have a certificate and does not wish to apply for one, he can
call up the e-mail of the sender using a WebMail application, which the gateway
establishes via a secured SSL connection.
Totemo TrustMail has been installed as the central gateway at arvato systems. The employees’
personal certificates, which TC TrustCenter provides with its Managed PKI solution TC Enterprise
ID, are centrally stored on the gateway. The personal certificates allow employees to
automatically sign and encrypt their outgoing e-mails via the gateway with no additional effort.
This takes place with the help of predefined rules on the gateway, such as keywords like
“confidential”, or certain recipient groups. The affected employee does not need to make any
manual adjustments to enable this. TC TrustCenter is accredited by the Federal Network Agency
so that the certificates ensure the highest possible security.
The virus scanner installed on the gateway provides additional protection. Incoming and outgoing
e-mails are briefly decoded, scanned for digital pests, then re-encrypted and resent.
The employees use the certificates issued by the certificate authority of Totemo TrustMail for
internal communication use. These are signed by the TC RootSigning service and can then be
automatically recognized and easily used in all external browsers.
